The Diagnostic Found the Bottleneck.
We Built the Fix Ourselves.
Larit Assuance, a loan and insurance DSA, came to us for an AI Tools Assessment. What our discovery call surfaced couldn't be solved with an off-the-shelf subscription, so our team designed and built the automation engine instead.

Five Things Our Discovery Call Surfaced
No pitching, no assumptions. On the recorded diagnostic call, this is what came up when we asked Larit Assuance to walk us through a typical week.
New leads sat idle
Inquiries were logged by hand and often waited hours for a first response, in a market where the fastest reply usually wins the file.
Document collection dragged
Borrowers weren't told exactly what to send, so KYC and financial paperwork trickled in piecemeal instead of arriving as a clean batch.
The phone never stopped ringing
'Where is my file?' was the single most common call the office received, answering questions that should have been proactively dispatched.
Partners had zero visibility
Sub-agents and connectors found out what they'd earned only when they called in and asked staff to check spreadsheets.
The standard SaaS fix was overpriced
A seat-based CRM plus a metered WhatsApp Business connector would have meant paying higher software bills as the business grew, penalizing scale.
From Conversation to a Working System
The same four steps every client goes through, this time ending in a custom build instead of an off-the-shelf stack.
Discovery Call
A recorded 45-minute diagnostic. We mapped how leads, documents, stage transitions, and partner payouts moved through the business without pitching prematurely.
AI & Expert Analysis
The transcript went through our AI and operator review. The root cause was clear: static data sitting in tables with no active event-driven triggers.
The Build Decision
A standard tool prescription would have papered over the problem. We scoped a Done-For-You build with the $999 assessment fee fully credited back.
Delivery & Handoff
We shipped three production workflows, tested end-to-end edge cases, and handed over an open system the client owns and controls completely.
Why we built this instead of prescribing a stack
Our standard assessment prescribes 3 to 7 off-the-shelf tools, kept under $60 a month, because most of the businesses we see don't need custom engineering. Larit Assuance did. The volume of leads, active case files, and channel partners meant a seat-priced CRM and a metered WhatsApp API would have gotten more expensive exactly as the business succeeded.
So this engagement moved from the $999 Assessment into our Done-For-You Setup tier, with the $999 credited back against the build. What we shipped isn't a stack of subscriptions. It's one system, on infrastructure Larit Assuance owns outright, that we designed, built, and tested end to end.
Six Moving Parts, Each Doing One Job
No single bloated platform. A small, connected stack, chosen because every layer is editable by us or by them, indefinitely.
| Layer | What it does |
|---|---|
| CRM Layer | A spreadsheet-simple, responsive web interface where staff log leads, update case stages, and manage connector records. |
| Database | System of record with database-level event triggers (trg_lead_complete, trg_stage_updated) that fire instantly on change.trg_lead_complete | trg_stage_updated |
| Event Relayer | Lightweight microservice with a debounce buffer ensuring notifications fire only once a record is fully submitted, never mid-keystroke. |
| Workflow Engine | Receives events, cleans data payloads, and routes specific templates to borrowers and partners according to loan product type. |
| Messaging Gateway | Direct WhatsApp connection delivering rich notifications instantly with zero recurring per-message software surcharges. |
| Reverse Proxy | Automated SSL encryption and 99.9% uptime monitoring for the client's private database environment. |
Three Automations, Running Since Handoff
The borrower knows what to send before anyone calls them
The moment a lead is logged (name, phone, requirement type, and ticket size), the system dispatches a WhatsApp welcome message with a tailored document checklist. A home loan inquiry gets the exact home loan checklist. Health insurance gets the insurance list.
The status-check call has nowhere left to happen
Every time a case transitions (Under Processing, Query Raised, Sanctioned, Disbursed), the borrower gets an immediate WhatsApp alert explaining current status and the next milestone. The answer arrives before the question forms.
Every connector sees their number without asking
Every Monday morning, the engine calculates commission totals from sanctioned files and dispatches individualized WhatsApp statements to each partner. Zero manual spreadsheets required.

About This Kind of Build
Why didn't the standard off-the-shelf prescription work here?
Our default $999 assessment prescribes 3 to 7 simple, off-the-shelf tools kept under $60/month, which is the right path for 80% of businesses. However, Larit Assuance's high transaction volume meant seat-priced tools and metered WhatsApp APIs would grow more expensive as they succeeded. A custom, self-hosted build was far more cost-effective.
Who owns the system after delivery?
The client owns 100% of the system. Everything runs on infrastructure they control outright, with complete documentation and editable schema.
Is a custom build always the answer?
No. It is the exception. Most assessments end in a 3-to-7 tool prescription and a 4-day quickstart plan. We only propose a custom build when discovery proves that off-the-shelf software would become an operational tax.
How long did delivery take?
The first production workflow was live in under a week of the build scope being locked. The complete three-workflow engine followed shortly after thorough QA testing.

Every engagement starts the same way this one did: a 45-minute diagnostic call, no pitch, just questions. If we can't find at least 5 hours of weekly admin savings, you get a full refund.
