What is an AI Tools Assessment?
Scope, price, deliverables, and what owner-operators actually walk away with after a diagnostic call.
An AI Tools Assessment is a paid diagnostic, not a software demo and not a strategy deck. At Neovis it costs $999 once. Jacob James runs a recorded 45-minute discovery call, the transcript is reviewed by AI and by a human, and you leave with a written report: the bottlenecks, 3 to 7 off-the-shelf tool prescriptions kept under $60 a month when that is enough, an effort-versus-impact matrix, a net ROI line, and a 4-day quickstart. If the report cannot name at least 5 hours a week of reclaimable admin, the $999 is refunded.
Neovis built this offer for owner-operators who are still the person doing the admin — typically firms of about 6 to 30 people, anywhere those firms run. The call does not pitch. The report is the product.
What does an AI Tools Assessment include?
A Neovis AI Tools Assessment includes six things you can hold: a recorded 45-minute Google Meet, an AI-plus-human read of that transcript, 3 to 7 named tool prescriptions, an effort-versus-impact matrix, a 4-day implementation checklist, and a 30-minute review call. It does not include software licences, a custom build, or ongoing retainers. Those sit on later rungs of the same ladder.
The prescriptions are specific. Not “get a CRM.” A named tool, a monthly cost, a setup time, and the weekly hours that tool is meant to give back. The stack target is under $60 a month in total software, because most owner-led firms do not need another seat-taxed platform.
Who is an AI Tools Assessment for?
Neovis runs this assessment for owner-led service businesses where the buyer is also the person buried in admin. The strongest fit so far is law firms and legal services, marketing and design agencies, and real estate brokerages or property managers, in the roughly $1M to $5M revenue band. The call is remote. Geography is not the filter. The week of admin is.
It is a weak fit if you are a software company looking for an ML roadmap, a biotech lab, or a team that already has an operations lead and a working stack. Those firms usually need a different engagement, or none.
What happens on the 45-minute discovery call?
The discovery call is a diagnostic interview, recorded on Google Meet. Neovis asks how a lead, a file, a document, or a Monday onboarding actually moves through the week. No tools are pitched on the call. The point is to hear the idle time, the status-check calls, and the copy-paste between tabs, in the owner’s own words.
You should expect to walk through a typical week, name the systems already in use, and point at the two or three jobs that always slip. Forty-five minutes is enough if you come ready to describe the work, not to hear a catalogue.
What do you walk away with after the assessment?
You walk away with a written deck and a 30-minute walkthrough, usually inside 5 to 7 business days of the call. The deck names the bottlenecks, the 3 to 7 tools, monthly cost, setup time, estimated hours saved, the effort-versus-impact matrix, the net ROI equation, and a day-by-day checklist designed so the team is not asked to implement everything on Monday.
You then choose. Run the 4-day plan yourself, or hire Neovis for Done-For-You Setup. If you hire, the $999 is credited against that project.
How much does an AI Tools Assessment cost?
The Neovis AI Tools Assessment is $999, one time, in USD as listed on neovis.xyz/operations. There is no subscription attached to the assessment itself. The recommended off-the-shelf stack is scoped to stay under $60 a month in tool fees.
Done-For-You Setup, when you want Neovis to implement, runs $999 to $4,999 per project with the assessment fee credited. The AI Concierge retainer is $1,500 a month and is capped at 6 active clients. Those are separate products. The assessment stands alone.
What is the money-back guarantee?
If Neovis cannot identify at least 5 hours per week of reclaimable administrative time in the custom report, you get the $999 back. The only time you have spent is the 45-minute call. The guarantee is on the diagnosis, not on whether your team later follows the 4-day plan.
That is a different promise from “we will install software that saves 5 hours.” The assessment is measured on whether the hours are findable and written down.
What does an AI Tools Assessment not include?
It does not include licences, custom code, a new CRM build, staff training beyond the review call, or a retainer. It does not include Neovis logging into your production systems and flipping switches unless you buy Done-For-You Setup.
It also does not assume a custom build. Most assessments end in 3 to 7 off-the-shelf tools. A self-hosted engine is the exception, and only when discovery shows that seat-priced or metered software would tax the business as it grows. That is what happened with Larit Assuance, documented in the Larit Assuance case study.
How long does the whole process take?
From booked call to review call is usually under a week. The discovery is 45 minutes. Analysis and the deck take the following few business days. The review is 30 minutes. Implementation of the 4-day plan is on you, or on a Done-For-You project if you hire it.
A custom build, when one is warranted, is a later clock. On Larit Assuance the first production workflow was live in under a week after the build scope locked. That clock starts after the assessment, not during it.
How is this different from a free AI readiness quiz?
A free quiz scores you on strategy, data, and governance and emails a PDF. A Neovis AI Tools Assessment is a recorded conversation about your actual week, followed by named tools, named costs, and a refund if the hours are not there. You are not asked to self-score your “AI maturity.”
There is no shortage of free readiness checks. Neovis sells the diagnosis that can become a stack you run yourself, or a system you own, without a per-seat or per-message tax.
Should you DIY the tools or hire Neovis to set them up?
DIY if the prescriptions are standard connectors — Zapier or Make, Notion, a shared inbox, a meeting recorder — and someone on the team can spend 15 minutes a day for four days. Hire Done-For-You if the workflow crosses several systems, nobody on staff will own the setup, or discovery already pointed at a custom build.
More than half of owners who go through the assessment ask Neovis to implement. That is a choice after the report, not a condition of buying it.
Frequently Asked Questions
Do I need to know which AI tools I want before the call?
No. The discovery call maps your actual operational workflows. The specific tool prescriptions come after the transcript and bottlenecks are thoroughly reviewed by our engineering team.
Will Neovis put client data into a public model?
No. The assessment uses the call transcript exclusively to diagnose bottlenecks. All recommended setups are chosen so tenant data remains isolated and is never used to train external public models.
Do I need to be in a particular country?
No. The diagnostic interview is conducted remotely via Google Meet. Neovis works with owner-led businesses worldwide wherever administrative friction is real.
Where do I book?
You can book directly at neovis.xyz or email contact@neovis.xyz to request the AI Tools Assessment.
